Property Management: a property calendar can make your life easier

In our personal and professional lives we all have a calendar.  Some are more complex than others but the reason for a calendar is to make you more organized, to keep track of what’s happening when and to be sure not to miss anything.  Isn’t that exactly what is needed in Property Management?

As a Property Manager you know how busy your day can be.  You are responsible for multiple properties and all the happenings at each.   At its’ simplest form, property management means getting things done when they need to be done.  Maintaining the database of what needs to be done can get complicated with multiple, larger properties.  Not only will a property calendar help, but a portfolio calendar will be of great use.

Benefits of the Calendar
Why have a personal or business calendar?  Simple, to stay organized.  It is the same when managing property.  There is so much going on on a given day that you need an efficient way to keep it all straight.  But there are greater benefits than simply making sure you know what is going on:

•    Central location for information – what happens when you are out?  Who knows what is going on at your properties or portfolio?  With a calendar, someone else can easily see what’s happening and cover for you as needed.

•    Communication – not only can you easily communicate internally, but why not share the calendar with the properties themselves?  With a web-based solution it is easy to allow Board Members, Residents, and Owners access.  That way they can see what’s going on and not have to call you.  Saves time and hassle for everyone.

Features of the Calendar
That calendar should show you what’s happening and when it is happening.  You need to be able to go to the calendar and easily see property and portfolio activities.  But there is more than that:

Reminders – you want to make sure you get everything done, that nothing sips through the cracks.  Have the calendar send out email reminders to make sure nothing gets missed.

Sorting – especially on a portfolio calendar, the days can be quite busy with all that needs to happen.  The calendar should be able to sort the events, filter as needed so you only see what you want to see.

Reporting – as you well know, a large part of Property Management is communicating with your customers.  Allowing them access to the calendar will help that, but you also want to be able to show them what you have done for them.  Printing out a report of all the activities you have managed at their property over the last month can clearly show them what you do for them.  No more questions about where the management fee goes.

Maintaining a property and portfolio is an easy thing to do that can help you manage more efficiently.  The Placeforce Property Management Solution is easy-to-use, affordable and can be a powerful tool to make you life easier.  For more information check out www.placeforce.com and see how.

Great.  The idea of a calendar is pretty simple, but they can be very useful when managing property and keeping track of all that information.
